Registration Policies

Conference Fee

The conference fee includes entry to all events as outlined on the conference registration web page unless otherwise specified. The fee does not include accommodation, non-program related meals, travel or any other expenses that may be incurred by delegates.

Payment Terms

If you are paying by check, you are not considered registered until full payment is received. Please make checks payable to Green Roofs for Healthy Cities and mail to:

Cancellation and Refund Policy

All requests for refunds must be submitted via email to conference@greenroofs.org. Requests received by August 11, 2017, receive a full refund less a 25% administrative fee per person.

No refunds will be issued for cancellations received after August 11, 2017, or for no-shows.

Substitutions

Substitutions will be processed on a complimentary basis for requests received by email prior to August 11, 2017. Simply email the full contact information for the new attendee along with the name of the attendee they are replacing to conference@greenroofs.org.

Substitutions will not be accepted onsite.

Cancellations and/or Changes by Event Organizer

CitiesAlive® is presented by Green Roofs for Healthy Cities - North America (GRHC). In the unlikely event that CitiesAlive is forced to change the location of the conference, every effort will be made to give delegates as much advance notice as possible. If a delegate is unable to attend the conference at the new location, GRHC will refund 100% of any prepaid conference fee upon written request. However, GRHC, or any other partners or sponsors will not be liable for any other costs incurred including (for example) travel charges or any consequential damages.

Alterations to the Conference Program

Information provided to CitiesAlive through the event registration form (via Cvent.com) may be used to contact attendees with information about the event when necessary. The information is published in the event “delegate list” that is circulated to event sponsors and exhibitors and is added to the CitiesAlive database in order to send you notices, from time to time, describing other association events. You may choose to opt out of being listed on the “delegate list” and/or the CitiesAlive database during the online registration process.

Right to Refuse Admission

CitiesAlive reserves the right to refuse admission, by refunding the fee, or, a proportionate amount if admission is refused partway through the Conference.

Visa Assistance for International Attendees

Visa application assistance is not provided to attendees. If you have inquiries regarding a US visa application, please visit the US Visas website (https://travel.state.gov/content/visas/en.html) for information. Registered CitiesAlive attendees are welcome to use the registration confirmation email as a supporting document for a US visa application. If you are an invited speaker, or invited presenter, please contact conference@greenroofs.org if you require assistance.

General

These terms and conditions set out in the rules and regulations above represent a complete statement of the agreement between the parties and supersede all prior discussions, correspondence and representations. Brochures and advertisements are for information purposes only and are not intended to form any agreement between GRHC/ CitiesAlive and the recipient. Terms and conditions are subject to change without notice and changes will apply to any enrollment/ conference order received after the date of the change. These terms and conditions may not be varied except in a written agreement signed by an officer of GRHC. GRHC’s (or Cvent.com) acceptance of a purchase order containing different terms and conditions does not modify or supersede these terms and conditions. This agreement shall be governed by and interpreted in accordance with the laws of the Province of Ontario, Canada.

Photo and Video Release

CitiesAlive takes photographs and video at the conference and may use them in both GRHC and CitiesAlive news or promotional materials whether in print, electronic format or other media, including the CitiesAlive website and Living Architecture Monitor Magazine®. By participating in the CitiesAlive 2016 conference, you grant the right to use your name and photograph for such purposes.

Conference Attire

Business casual is the suggested attire for all conference events.

Dietary Restrictions / Disabilities / Special Requests

If you need special accommodations or have specific dietary needs or allergies, please indicate those items when you register on-line. All catered functions will provide vegetarian options.
